What are the steps?
- As an administrator, open Organization → Connect HubSpot. If your PortalSync connection is already listed, use it without connecting again.
- For a new account, choose Connect an account, give it a recognizable name and continue to HubSpot. Review the permissions for the PortalSync integration and approve the correct account. You return automatically to HubCoach.
- Expand What can this HubSpot connection do?, choose the connection and select Check permissions. Review record reading, record writing and field definitions separately.
- In an admitted organization, connected portals and new members receive HubCoach access automatically. Administration lets you pause a portal, suspend a person or narrow record visibility when needed.
- If your OAuth connection expires, select it and choose Reconnect selected account. The person who originally connected it must complete this step; reconnecting updates the shared connection for both apps.
- Invite people from Administration → Team invitations. The confirmation distinguishes an email accepted for sending from an unconfirmed delivery. Pending invitations do not count as licenses; each enabled member adds one license to the projected monthly total.
- As an organization administrator, open Billing & licenses to review enabled seats, trial dates and the monthly projection. There are no active charges; starting a paid subscription will require confirmation. Platform staff see separate HubCoach-only organization metrics.
- New organizations apply through the waitlist. Admissions are reviewed every 15 days until launch. The 7-day trial begins when the organization is admitted and enabled, not when it applies.
