Should you hire a HubSpot administrator or outsource it?

It depends on how many people use HubSpot, how many brands or departments you have and how many integrations need watching. An in-house administrator knows the business, but is a single person: if they get sick, go on holiday or resign, the portal is left without an owner. Outsourcing solves the backup, and the knowledge stays in your company only if the contract requires documentation and access in your name. In Chile and Latin America, the question usually comes up when the person who knew HubSpot leaves.

What does a HubSpot administrator do?

Keeps the portal in order: users, teams and permissions in Settings > Users & Teams, properties, pipelines, workflows, reports and dashboards. They also support users, test changes before publishing them, look after data quality and check that integrations keep bringing in records.

In HubSpot, the role that can do everything is Super Admin: it accesses all the account tools and settings, and only another Super Admin can grant it. On paid subscriptions it needs a Core, Sales or Service seat. Permission sets for the other roles are created and edited with Enterprise.

When does hiring someone in-house make sense?

When the portal is stable, there is a single brand, few integrations and the volume of changes fills a working day. An in-house administrator knows the people, the product and the way you sell, and that speeds up every decision.

The risk is that everything depends on one person. If they get sick, go on holiday or resign, requests pile up and nobody knows why each workflow exists. Integrations and APIs also require a different technical profile from the one that organizes pipelines and reports, and it is hard to find both in a single hire.

When does outsourcing make sense?

When there are several brands or departments, your own integrations with the ERP or WhatsApp, or demand that rises and falls every month. An outside team brings backup, specialists for the technical work and the experience of having seen the same problems in other portals across Chile and Latin America.

The condition is that it works within your rules: a named owner, written response times, visible hours and everything it builds documented in your name. Without that, outsourcing only moves the risk to someone else.

Where does the knowledge stay when someone leaves?

If it is not written down, it leaves with the person. Ask for a living inventory of workflows, integrations, properties and reports, with purpose, owner and review date. And keep at least one Super Admin who belongs to your company: if the only one is external, you depend on them even to grant a permission.

When someone leaves, deactivate them first in Users & Teams: they can no longer log in, but their records and history stay in the CRM. Before removing them, reassign the records they own; otherwise the owner field will show them as a deactivated user and their deals will be left without follow-up.

    Measure demand

    Count change and support requests over the last three months, active users, brands or departments and the integrations that bring data every day.

  2. 02

    Separate the technical work

    Mark which requests need integrations, APIs, migrations or complex reports. If they are frequent, one person can hardly cover them all.

    Define the backup

    Who answers when the administrator is away, with which permissions and how fast. If the answer is nobody, that is the first risk to solve.

  4. 04

    Require documentation

    An inventory of workflows, integrations, properties and reports with owner and purpose, plus a manual per area. It applies to in-house and outsourced alike.

  5. 05

    Secure your company's access

    At least one Super Admin from your company, role-based permissions for everyone else and every integration key in the company's name, not a person's.

  6. 06

    Review the decision every quarter

    Compare requests handled, response times and hours used. If demand changed, adjust the dedication or the model.

Frequently asked questions

How many users justify a full-time administrator?

There is no fixed number: brands or departments, integrations and how many changes are requested each week weigh more. In companies across Chile and Latin America with over 40 users, several brands and their own integrations, the portal usually needs daily dedication.

How many Super Admins should my portal have?

HubSpot does not set a number. The prudent choice is that at least one Super Admin belongs to your company and everyone else works with role-based permissions, so you do not depend on a single person or provider.

What happens to the records of someone who leaves?

If you deactivate them, they cannot log in and their records and activities stay in the CRM. Before removing them, reassign what they own with the Assign action in the records view.

Does an outsourced administrator take up a paid seat?

If they work for a HubSpot Solutions Partner, they can use the partner seat, which is free for your account. Still, give them only the permissions they need and review every quarter who has access.

Can in-house and outsourced be combined?

Yes, and it is often the healthiest option: an in-house person who owns the process and the priorities, and an outside team for technical work, backup and documentation. The rules and the access remain your company's.

How do I know if my current administrator needs support?

If simple requests take weeks, nobody else understands certain workflows or you find out late that an integration broke, the problem is no longer effort but capacity or method.
