Built-in and personal rules: help each person work better in HubSpot
Start with 42 native checks, choose what stays on and give each team the context it needs without leaving HubSpot.

Direct answer
Combine a shared baseline with guidance for the right audience. Use built-in checks for supported native data, personal or team rules for your own criteria, and display preferences to choose where guidance appears.
Start with a baseline your team can use today
HubCoach includes 42 checks across deals, contacts, companies, tickets, activities, marketing and summaries. They start enabled. An administrator can turn individual checks, categories or the library off and save exceptions for a portal.
An overdue close date gives the representative something concrete to review. It does not decide a new date for them: they confirm the customer’s situation and save the change in HubSpot. Checks depend on the data and permissions available.
A sales representative and a leader need different help
A representative may keep a personal rule for their own follow-up. An administrator can publish shared criteria with a defined audience. Personal rules, organization rules and portal access serve different purposes; displaying a rule never grants additional access to CRM data.
Language, density and supported surfaces are saved for the user. Organization policies still govern the shared experience. Explain the reason for a signal and the next useful action so that help feels relevant to the work.
Move from noticing an issue to resolving it
On supported CRM records, lists and boards, visual signals call attention to the work. The Side Panel brings the explanation, knowledge and assigned steps close to the record. Supported actions can open native HubSpot controls; the person still reviews and saves.
Leaders can revisit saved views and assigned plans with their team. Review a few real records together to understand what improved and what still causes friction. A read or completed step measures activity, not a guaranteed commercial result.
Plan your first group and licenses
Choose a small group, a concrete process and the checks that help them act. HubCoach’s planned price is USD 10 per user per month, with a 7-day trial when your organization receives access.
Current intake is closed. Apply to the waitlist; new organizations are admitted every 15 days until launch, subject to review. No payment is collected in the current early access stage.
A checklist for your team
- Choose one team and a frequent decision.
- Review the built-in checks and switch off irrelevant ones.
- Publish shared rules to the intended audience.
- Let people adjust personal rules and display preferences.
- Review records and exceptions together after the pilot.
Questions before getting started
Can every person disable the organization’s checks?
Organization and portal policies are managed by administrators. Members can keep personal rules and preferences within those policies.
Does joining the waitlist start the trial?
No. The 7-day trial starts when your organization is admitted and enabled. Applying does not create a paid subscription.
