Why does chasing reps not give you visibility?
Asking for a spreadsheet on Friday or texting "how is it going?" on WhatsApp produces a picture staged for the meeting, not the state of the pipeline, and makes the rep copy data that is already in HubSpot.
In B2B companies across Chile and Latin America both sides complain: management is flying blind and the team feels controlled. The way out is to look at less, and better: only the deals with a risk signal.
Which exceptions should you review every week in HubSpot?
Four are enough to start; the sales workspace in Sales Hub Professional or Enterprise already includes similar views:
- Open deals with no Next activity date: no future call, sales email or meeting is logged or scheduled (tasks do not count).
- Close date before today on open deals: the forecast no longer reflects when they will close.
- Stalled deals: their time in stage is at least 20% longer than their owner's average for that stage.
- Overdue tasks by person: in CRM > Tasks, with a view of your own, because the standard Overdue view shows only yours (Assignee: Me).
How do you talk with each rep from the record instead of a spreadsheet?
In the one-on-one, open the deal together and read what HubSpot says: last activity, next step, stage and close date. The question moves from "how is it going?" to "what did the customer agree to and when do you follow up?", and the answer stays in Next step.
Between meetings, a note that @mentions the rep keeps the agreement with the deal, and with Actions > Follow on the record, HubSpot notifies you when a key deal has new activity.
What should you look at in the weekly pipeline review with the whole team?
The pipeline board and two reports from the sales analytics suite (Sales Hub Starter or higher) are enough: Deal change history (stages, amounts and close dates) and Deal push rate, by deal stage. Completed activities, by user, is for preparing each one-on-one, not for showing to the team.
With Professional or Enterprise and revenue goals assigned, Sales > Forecast shows Goal, Closed Won and Gap by deal stage or Forecast category; each rep's name opens their forecast. The meeting closes with a few written decisions, each with an owner and a date.
What should you avoid when managing the team with HubSpot?
A routine by exception breaks when it is mixed with control, and it is not enough if the team does not log its work in HubSpot: solve that first. These mistakes weaken it most in sales teams across Chile and Latin America:
- Rankings by number of calls or emails: they reward volume and push people to log empty activity.
- Micromanagement: reviewing every deal of every rep daily turns the exception into the rule.
- Counting logins as usage: signing in to HubSpot says nothing about the deal.
- Changing the filters every week: the number stops being comparable.
