How many stages should a B2B sales pipeline have?

Each stage describes a verifiable advance by the customer, not an internal state of the rep. "Meeting held" or "Proposal sent" can be checked; "Following up" or "Hot" cannot. With that rule, the pipeline of a B2B company in Chile or Latin America has five to seven stages, each with its evidence, its probability and the properties it requires.

In HubSpot each stage has a Deal probability, and the Weighted amount in board view is the Amount times that probability. If the stage describes a rep's feeling, the weighted pipeline becomes an opinion with decimals.
State-based stages also get skipped and reversed: a deal jumps from "Contacted" to "Almost closed" in a day, and the Deal funnel report records skips and times that do not describe the process. With verifiable advances, the movement of the deal matches what happened with the customer.

With Professional or Enterprise, the Pipeline Rules tab restricts skipping stages or moving backwards. The Automate tab creates tasks, sends internal emails or edits properties when a deal enters a stage, available from Sales Hub Starter.
HubSpot automatically calculates Date entered stage, Cumulative time in stage, Time in current stage and Days to close. With them, Deal funnel shows conversion, skips and time per stage; Deal push rate and Deal velocity complete the picture.
Many skips mean the stages are not sequential; deals stuck for months, that the stage is too wide; a probability that never matches real closes, that the stage does not describe an advance.

With the reps, one sentence per stage that starts with a fact: "the customer confirmed budget", "we received the purchase order". If nobody can check it on the record, it is not a stage.
Settings > Data Management > Objects > Deals > Pipelines > Create pipeline, or click the name to edit it. With Add stage, name each one and set its Deal probability, with Won and Lost stages.
In the conditional stage properties, Add rule > Add property > Required checkbox > Save logic. Amount and close date when sending a proposal; lost reason when closing lost.
Under Pipeline Rules, restrict skips and backward moves if your tier allows it. Under Automate, create the follow-up task and the internal email when entering the key stages.
Map each old stage to the new one, move deals in bulk and close the previous pipeline. Stage date properties are calculated from real movement from that day on.
Review Deal funnel, time per stage and push rate. Adjust names, probabilities and required properties with the team, not from the settings alone.
