# HubSpot data quality: 7 hidden problems and how to measure them in Chile and Latin America

> HubSpot data quality problems rarely throw an error: they quietly split reports, inflate the pipeline and make the forecast hard to defend. The seven most common ones are unused or duplicated properties, contacts without a company, inconsistent lifecycle stages, overdue close dates, inconsistent formats, placeholder values and late-stage deals without an amount. This guide shows how to measure each one and fix it without adding friction for your sales team, in B2B companies in Chile and Latin America.

## What are ghost properties and what should you do with them?

They are custom properties nobody fills in, or two properties that store the same thing, such as “annual revenue” and “company revenue”. Each one adds noise to forms and views.

> List the properties with their fill rate and where they are used. Consolidate real duplicates, improve the useful but undocumented ones and phase out the empty ones before archiving.

## Why do contacts without a company break your account view?

A contact from a target account fills in a form but is not associated with the company. The account looks inactive, the rep does not see the new contact and the attribution is lost.

> Turn on automatic association by email domain and make sure your companies have a domain. Review the gaps by owner so each rep fixes their own accounts.

## What happens when lifecycle stages contradict the deals?

Contacts marked as subscribers with open deals, customers that regress to lead, stages skipped without a trace. Funnel metrics stop meaning anything.

> Write down the criterion for each stage and let a single automation own the lifecycle stage. With several writers, the last one wins and nobody knows why.

## Why are overdue close dates a forecast problem?

An open deal whose close date already passed is still counted in the forecast for a period that is over. Add deals with no next activity and the pipeline looks bigger than it is.

> **How to fix it**
> Create an exception view per rep and review it in the weekly meeting. Do not close or move deals by workflow: the owner decides, the system only shows the exception.

## How do inconsistent formats break workflows?

“Chile”, “CL” and “chile” in the same field. A workflow filtering by one value misses the others and a report shows three bars for the same country.

> Use dropdown properties for the fields you segment or report on, with an explicit “unknown” option. Normalize the existing values once, in bulk.

## Where do placeholder values like “test” or “N/A” come from?

Almost always from a field that was made required when the record is created. The rep does not know the value yet, needs to save and types anything.

> **How to fix it**
> Clean the placeholders and remove the requirement that produced them. Ask for the value at the stage where it is actually known.

## Why should the amount be required by stage and not at creation?

Deals past the proposal stage with no amount, or with no contact, make pipeline value unreliable. Forcing those fields at creation does not work either: early deals rarely know the amount.

> Use stage-conditional required properties: amount and main contact become mandatory when the deal enters proposal or negotiation, not before.

## How do you measure all seven before fixing anything?

Fixing at random wastes weeks. Measure first, rank by business impact and start with what affects the forecast.

### What is data quality in HubSpot?

It is how complete, consistent and trustworthy the records in your portal are: contacts, companies, deals and tickets. Good data quality means a report gives the same answer no matter who builds it.

### Should I archive properties with low fill rates?

Not on usage alone. A rarely used property can be critical for one product line or integration. Check dependencies, phase it out first and archive only after confirming nothing uses it.

### Should the deal amount be required when the deal is created?

No. Make it required at the stage where it becomes known, usually proposal. Required fields at creation produce placeholder values that look like data.

### How do I find contacts without a company?

Filter contacts with no associated company, and check companies without a domain, because HubSpot cannot associate contacts to a company without one.

### Should I auto-close stale deals?

No. Show them as exceptions to their owner and the manager. Closing or moving deals automatically replaces a business judgment with a rule and hides the real problem.

### Does HubSpot Audit fix the data on its own?

No. The audit only reads your portal. Paid actions do change HubSpot: the ones that turn on, turn off, archive, delete or remove users ask for confirmation in a dialog, and assigning an owner applies as soon as you pick the person.
